Description

This position is located at the U.S. Department of Energy (DOE) Headquarters, Office of The General Counsel (GC).  The position performs support service duties for the Office of The General Counsel (specifically three Deputy General Counsels (DGCs)), as well as back up to front office support staff (i.e., Executive Coordinator, Confidential Assistant, and Correspondence Analyst).  

Hiring Timeframe: Immediate

Work Location:  This position is an onsite role in Washington, DC. Seventh Sense will support your commute by contributing over $1,500 annually to your Transportation FSA. 
 
Responsibilities:


Principal contact and liaison for DGCs' Office:

  • Maintains highly professional and confidential dealings with the GC and DGCs, as well as senior Departmental officials on a wide range of sensitive issues.
  • Establishes and maintains positive and effective working relationships with Headquarters personnel, field offices, and other Federal agencies concerned with OGC activities.
  • Receives visitors in office and escort non-DOE visitors within the Forrestal Building.
  • Assists front office administrative staff with organizing lunches, award ceremonies, and other GC staff gatherings.
  • A high degree of tact and diplomacy is required, both to obtain information and to limit demands on the DGCs' time.
  • The position is front-line support for DOE Senior Executives.  As such, the position reflects the overall image and capability of the organization.  A polished demeanor and professional attitude are required. 


Scheduling:

  • Monitor email and respond to requests for meetings and appointments.
  • Set up meetings and appointments.
  • Maintain calendars and coordinate with the General Counsel’s schedule, as appropriate.
  • Keep GC, DGCs, and staff apprised of schedules.
  • Provide GC and DGCs with daily reminders of current and upcoming appointments.


Communications/Written Correspondence:

  • Answer external phone calls, directing to appropriate DGCs staff.
  • Convey to GC/DGCs urgent communications requiring immediate attention.
  • At supervisor’s direction, prepares responses either electronically or by hard copy.
  • Receives and reviews all incoming and outgoing correspondence for accuracy, completeness, and conformity with DOE and GC procedures.


Travel Management:

  • Provide administrative assistance in planning, making reservations, finalizing the ground agendas, and briefing materials and preparing travel authorizations and vouchers for official travel.
  • Provide additional assistance with international approvals including VISA and inoculation appointments.
  • Submit travel logistics to ADTRAV.
  • Create travel voucher for lodging, airline, travel taxi, & expenses.
  • Calculate per diem reimbursements.
  • Prepare vouchers for local, telework, and foreign travel.
  • Make arrangements for local travel (Lyft or Uber).


Record Management:

  • Ensure GC and DGC’s files are appropriately maintained.
  • Retrieve relevant documents based on legally-related subject matter.
  • Conduct research from supervisor’s personal file collection.
  • Ensure that files are appropriately archived or disposed of as required.
  • Performs other related duties as assigned.
 
Required Qualifications:
 
  • Strong knowledge of office automation software and systems – Windows, Word, Outlook, Adobe Acrobat Pro (PDF files), Excel, Internet, web applications, etc.
  • Proficient in Microsoft Office (Word, Excel, and Outlook).
  • Excellent communications skills – written and verbal.
  • Ability to prioritize projects and strong problem solving skills.
  • Good research skills and attention to details.
